Virtually Myself

Security and Data Sovereignty

Keep control of your knowledge

Virtually Myself® is Australian owned, Australian managed and Australian hosted.

The platform is designed to help experts, teams and organisations retain control over valuable intellectual property while using AI to search, develop and apply it.

Talk to us about security and implementation

Australian-hosted infrastructure

Vault data is hosted in Australia, supporting Australian data residency and sovereignty requirements.

Organisations with specific privacy, security, procurement or regulatory obligations can assess their requirements before implementation.

Private knowledge environments

Customer knowledge is held within private Vault environments.

A suitable configuration may include:

  • Personal Vaults
  • Shared team Vaults
  • Organisational Vaults
  • Restricted knowledge collections
  • Separate environments for different business units
  • Defined knowledge for external portals

Access depends on the permissions attached to the user and environment.

Controlled access

Role-based access helps determine who can view, add and use selected knowledge.

Organisational configurations can be designed around:

  • User roles
  • Teams
  • Business units
  • Information sensitivity
  • Workflow responsibilities
  • Review and approval authority
  • External audience access

Your data and public model training

Vault content is excluded from public AI model training.

Your material is used to provide the Virtually Myself® experience within your authorised environment and according to the applicable account terms.

Model independence

Virtually Myself® uses a vendor-agnostic approach.

Different tasks can use models suited to writing, retrieval, analysis or other capabilities. Your Vault remains the persistent knowledge layer across the experience.

The platform can adapt as model capabilities develop without requiring you to move your body of knowledge into a new system for each provider.

Source-based responses

Virtually Myself® can identify the source material supporting a response.

Source references help users:

  • Verify information
  • Review original context
  • Check document versions
  • Confirm names, dates and claims
  • Identify gaps
  • Decide when further review is required

Source visibility supports accountable use across professional and organisational settings.

Human oversight

People remain responsible for reviewing, approving and acting on outputs.

Workflows can include:

  • Mandatory review points
  • Source verification
  • Approval requirements
  • Permissions
  • Escalation pathways
  • Defined output limits
  • Document Review
  • Activity and audit requirements

Professional judgement remains with the authorised person.

Ownership of your intellectual property

Your source material and intellectual property remain yours.

Use of uploaded material, generated outputs, exports, retention and deletion is governed by the current Virtually Myself® Terms of Service and relevant organisational agreements.

Sensitive and regulated information

Suitability depends on the information involved and the obligations applying to your organisation.

Before adding regulated, classified or highly sensitive information, organisations should complete the appropriate:

  • Privacy assessment
  • Security review
  • Legal review
  • Regulatory assessment
  • Procurement process
  • Information-handling review
  • Access and retention planning

We can work with technology, privacy, security, legal and procurement teams to define a suitable architecture and implementation pathway.

How we govern our AI

Security and data sovereignty are part of a wider governance position. Accountability for AI governance sits with our founders, Alex Hagan and Nina Christian.

Our AI governance programme is being developed with reference to ISO/IEC 42001, the international standard for artificial intelligence management systems. We are undertaking training and progressively developing the policies, responsibilities, risk processes, documentation and review practices associated with it.

Virtually Myself® does not currently hold ISO/IEC 42001 certification. References to the standard describe the direction and structure of our governance work, not a claim of certification, formal compliance or independent assurance.

Our full Responsible AI and Governance Statement sets out our principles, risk-based approach, model and supplier assessment, and the responsibilities that sit with customers.

Begin with a defined use case

A contained pilot can test the platform with an approved document collection, user group and workflow.

The pilot can assess:

  • Retrieval accuracy
  • Source verification
  • Permission requirements
  • Time spent finding information
  • Workflow consistency
  • Review and escalation points
  • User confidence
  • Knowledge retained
  • Organisational value
